QUESTION: Councillor F. Timmons

To ask for report into Membersnet why it’s taking so long to answer some? And how many additional staff are needed in order to answer these in a timely manner?

REPLY:

The Members Reps System has been under review by staff from The IT and Corporate Departments. Reports have issued to Group Leaders meetings and to the OP&F committee meetings on an ongoing basis.

The review evidenced that the volume of members reps received has increased almost threefold since the increase in the number of councillors from 26 to 40 – to an average of 685 per month in 2015. Despite this unprecedented increase in volume the average response time of representations processed remains within agreed timelines at 5.3 days on average in 2015.

Through the review, some changes have been identified both to the system itself and to arrangements in place for more efficient and appropriate replies. It is not seen as a staff resource issue solely, and as part of the review specific staff have been assigned to ensure that the system operates in a more time conscious manner and with replies geared to give the most up to date information available referencing already agreed work programmes that will be available on the Intranet and Membersnet.
