MOTION NO.5

MOTION: Councillor F. Timmons

That each Membersnet be given a 3 colour code system in terms of Priority in order for Councillors to prioritise urgent ones and in order for efficiency that Membersnet are not marked closed until the issue is resolved.

REPORT:

The Members Reps System has been under significant review by staff from the IT and Corporate Departments. Reports have issued to Group Leaders meetings and to the OP&F committee meetings, at which the changes and enhancements to the Members Reps Systems were agreed. Discussions included consideration of a number of proposals including a colour code system for priority replies.

Following the review, the changes are being implemented both to the system itself and to arrangements in place for more efficient and appropriate replies. It is not seen as a staff resource issue solely, and as part of the review specific staff have been assigned to ensure that the system operates in a more time conscious manner and with replies geared to give the most up to date information available referencing already agreed work programmes that will be available on the Intranet and Membersnet.

It is the intention now that where work is to be carried out, a ‘Commitment’ is raised on the system to facilitate closing the rep while the completion of works is tracked as outlined in the reply by the Councillor.
