Cllr Francis Timmons – Independent Voice

Motions by Councillors

MEETING OF ORGANISATION PROCEDURE AND FINANCE COMMITTEE

Thursday, May 19, 2016

QUESTION NO.4

QUESTION: Councillor F. Timmons

To ask for a report on what weight Motions by Councillors carry – once agreed by Councillors – are the action in Motions always carried out.

REPLY:

Following an Agreed Motion from the Council a commitment is placed on the CMAS system for the relevant section to carry out what was requested in the Motion.

With regard to writing Letters to Ministers, once the letter is issued by the Meetings administrator the commitment is closed.  When a reply is received it is then included in the correspondence heading at the appropriate Meeting.  A review is then carried out on all outstanding replies and no reply has been received a second letter is issued.

When the Agreed Motion calls for a Director to carry out some action a commitment is also raised on the CMAS system and assigned to the appropriate Director.  Once the action has been completed the Director will close the commitment.
